Responsible for providing effective and timely administartive support to sales and marketing requirements and activities.



  • Provides effective and timely administrative support to Sales and Marketing team and also secretarial support to the Sales & Marketing Manager, (F&E).


  • Prepares requests such as but not limited to Purchase Requisition, Request for Payment, Cash Advance, Liquidation, etc. with corresponding charging.
  • Facilitates all request received from the field.
    • Follow-up check release of MR.
    • Prepares monthly status of field request for submission to District Managers.
    • Place calls to MRs and DMs on clarificatory questions about the request.
    • Informs MRs and DMs the deadline of submission of data needed by Brand Manager.
  • Monitors promotional materials and other items.
    • Monitors artworks being routed for approval.
    • Prepares Promotional Materials Requests (in case of Special Requests) for field employees.
  • Sends reminders on scheduled meeting/s to concerned employees/managers.
  • Makes follow-up of all pending request/s.
  • Sends updates/reports to Business Unit Head, Field Sales Manager and/or Group Brand Manager when they are out of town or out of the country.


  • Prepares, routes and file price quotations for selected Private Institutions and Government Agencies/ Hospital.
  • Prepares mailings for field personnel i.e. forms, memo.


  • Maintains database for Expense Request for proper monitoring and tracking.
    • Expense Monitoring per district (expense requests).

      Other Duties and Responsibilities:

  • Coordinates w/ travel agencies and certain hotels for flight requirements and hotel accommodation as needed.
  • Performs other functions that may be assigned/required from time to time.
  • Abide by and perform to the best of his/her abilities all functions, duties and responsibilities to be assigned by the Employer in due course;
  • Comply with the orders and instructions given from time to time by the Employer through its authorized representatives;
  • Shall not disclose any confidential information in respect of the affairs of the Employer to any unauthorized person;
  • Perform any other administrative or non-administrative duties as assigned by any representative of the Employer from time to time either through direct written order or by oral assignment.


    Patients Safety/Pharmacovigilance (PV)/Medical Affairs:

  • To recognize a reportable Adverse Event (AE) or safety information and ensuring the necessary information is forwarded according to the company procedures. 


Quality Assurance:

  • On handling customer complaint, the employee must obtain and compile the information regarding a received complaint and to transfer the information to the local complaint manager. 


  • Comply with the Company's Environment, Health, Safety and Security policies and procedures relevant to your position.



  • Comply with all applicable laws and regulations issued by the relevant government regulatory agencies;
  • Abide by the Company's Code of Conduct and all other policies relevant to your position, including but not limited to the Anti-Corruption and the Anti-Trust Policies.
