The APAC Applied coordinator is responsible for tracking, supporting, and facilitating Applied Business initiatives to successful completion. She/He will build relationships, interact, and work closely with a broad set of employees and senior leaders within APAC and across the regions. She/he will represent the 4 Applied business leaders on a regular basis to others in the organization and is a pro-active problem-solver and facilitator, using solid judgment and discretion at all times. The coordinator will assist members of APAC Applied leadership team in day-to-day activities and ad-hoc projects. This position keeps the lines of communication open ensuring that the 4 Applied business leaders are well informed and prepared for meetings, events, and other activities.

The position reports to one of the 4 business leaders and is based in Shanghai.

Your role:

•Provide executive assistance and special project support to the 4 Applied business leaders

•Perform a variety of project management tasks that focus on tracking, and sometimes managing, key initiatives on behalf of the Leadership team; includes establishing timelines and delegating assignments; coordinating project deliverables with other departments/divisions/consultants; and evaluating and updating project status for reporting and decision making, recommending adjustments.

•Ensure that all Leadership team initiatives are appropriately prioritized resourced and on-track, focusing on coordination of cross-functional work streams, data collection and maintenance, and management of preparation for speaking engagements.

•Work with Leadership team to develop regular communications to keep employees informed about business priorities, successes, and other developments.

•Draft, proofread, and edit correspondence, emails, presentations, and other documents for the Leadership team.

•Undertake special projects, including but not limited to the development of key presentations, the evaluation of proposals, and the preparation of background reports on key topics.

•Manage Leadership team’s preparation for meetings and works closely with the 4 business leaders as needed to prepare presentation materials and ensure timely and effective follow-up to meetings.

•Perform a variety of key support tasks as needed, which may include responding to requests for information, monitoring the divisional and program budgets, preparing divisional communications, researching topics and drafting summaries.

Who you are:

• Master’s degree in Business

• Minimum of 6+ years of related work experience that requires project management skills, keen organizational skills, analytical skills and superior communications skills

•Strong interpersonal skills

•Ability to work with a broad set of employees in collaborative fashion

•Excellent English communication skills

•Superb English writing skills, including proofreading and editing abilities

•Highly credible with executive maturity

•Commitment to confidentiality and professional integrity

•Organized and experienced in leading projects forward

•Strong attention to detail

•Excellent at engaging other resources when necessary and keeping key parties informed.

•Ability to learn independently

•Can quickly synthesize and analyze complex information from multiple sources

•Demonstrated ability to exercise excellent political judgment and discretion

•Superior analytical and quantitative skills

•Ability to set up analytical frameworks to evaluate options

•Ability to present information in a clear, compelling and concise way

•Skilled at prioritizing work

•Ability to regularly travel across APAC region (Business trips will represent approx 10-15% of the annual working time)
