Your Role:

The Facilities system admin, reports to the Facilities Operations Manager and assists in meeting the corporate growth goals. The Facilities Coordinator works closely with the facilities, maintenance, and engineering teams to support all facilities activities. In meeting these goals, the Facilities Coordinator will ensure that projects are performed on schedule and in a prompt and efficient manner.


The Coordinator will be the first point of contact for internal and external customers seeking support and information from the facilities department.  The coordinator will provide administrative support to the maintenance, engineering, and facilities teams. Manage office functions as the system administrator for the facilities department’s CMMS, work Order/coordination, service history database management, daily office operations, coordination of budgeting/accounting systems maintaining office records, and providing general support services.


This role will manage and coordinate projects in support and under the direction of the Facilities Operations Manager.  The coordinator must understand prompt response is needed for all internal and external clients. At any point throughout the shift prioritizes may change, which may need to travel between sites or extended hours.  Additionally, the facilities coordinator, will manage outside contractors in support of the facilities department, including maintaining records and contracts, coordinating project activities, and providing scheduling support.

The Facilities Coordinator Responsibilities:


  • Manage the CMMS/Blue mountain Ram system, including receiving work requests, assigning work orders, entering system data, and providing overall system administration.
  • Assist with the implementation or revisions of the department’s CMMS.
  • Act as a central dispatch for all maintenance activities.
  • Assist the Facilities team in all aspects of project implementation, as needed.
  • Support the maintenance, engineer, and facilities teams with external contracts, as needed.
  • Schedule and coordinate routine alarm and security system tests.
  • Schedule and coordinate internal and external building safety inspections.
  • Perform space-planning functions.
  • Represent the Facilities Department in inter-departmental meetings to support and facilitate communication and action among departments.         
  • With the support of the Facilities team, coordinate to the work direction and support systems.
  • Oversee and verify contractors have gone through vendor & EHS approved supplier/vendor/contractor.
  • Independently maintain and update administrative policies and procedures as needed.
  • Establish, maintain, and organize the department's equipment files/records.
  • Prepare and maintain Requests for Proposals (RFPs), bid information, and other contract documents.
  • Provide administrative support to the Facilities team.
  • Create Facilities and Equipment metrics.
  • Travels as needed between sites, to attend professional conferences and train on new technologies.


 Physical Attributes:

  • Remain in a stationary position; stand and sit for prolonged periods of time
  • Adjust, move, and lift objects up to 25 pounds
  • Repeat motions with precision using the wrists, hands and/or fingers
  • Work inside or outdoors in ranging temperatures



Who You Are:
Minimum Qualifications: 

  • High Diploma or GED
  • 3+ years of experience working in a facilities-related role or environment coordinating internal/external activities
  • 3+ experience using a Computerized Maintenance Management System (CMMS)



Preferred Qualifications: 

  • 4+ years of Facilities and Equipment Management
  • Experience in Outlook, Word, Excel, PowerPoint
  • Ability to handle multiple tasks, prioritize assignments and to communicate and respond effectively
  • Previous experience in a GMP environment
  • Experience using a Computerized Maintenance Management System (CMMS) Blue Mountain Ram
  • Proficient in the  ability to implement and manage a CMMS system
  • Ability to work and communicate professionally, both verbally and in written form with internal and external customers, colleagues, and contractors
  • Ability to demonstrate customer service excellence
  • Knowledge of Building Management System
  • Ability to organization and manage multiple projects simultaneously
  • Ability to perform and manage technically complex projects using independent judgment and personal initiative
  • Ability to recognize opportunities and adjust direction when the situation warrants



Pay Range for this position - $42,300 - $98,700
